** SEE BELOW FOR IMPORTANT INFORMATION ABOUT

PROPOSED CHANGES IN THE CONSTITUTION **

At St Mary's we are privileged to have a committed P.T.F.A. who work tirelessly to raise much needed funds through a variety of events. These include major events like the ever popular Fireworks Display, Summer fundraisers and Christmas Shopping Trips, as well as social events like a wine tasting evening and quiz nights to name but a few. They also cater for the children's needs, organising infant and junior discos plus fun activities such as Inflatables Day every year the children take part in a pancake race.
The P.T.F.A. provide the funds for a coach allowing over thirty children to visit the County Library every term to re-stock the school library thus ensuring that the children have access to a constantly changing supply of books.
They have in the past provided computers, sports equipment, music equipment, numeracy aids and a range of playground equipment including a train for the infant playground.

A number of parents have said that they would not mind helping out on the PTFA but don't have the time to organise any events or take up a position within the association.  If this is you then please volunteer, as we are always looking for helpers with just a couple of hours to spare to help out with the disco's or setting up events etc.

PTFA Proposed adoption of new Constitution

Registered Charity No 1024572

The Parents Teachers and Friends Association (PTFA) serve to advance the education of pupils at Kelvedon St Mary’s primary school. You will probably best know the PTFA for the fundraising and social events that we hold.

Anyone who has a child at the school is automatically a member of the PTFA – we then openly invite members to join the committee. Committee members work on everyone’s behalf.

The committee follow a constitution – a document that states the rules by which the PTFA is governed. Usually, updates to the constitution are carried out at the Annual General Meeting. However, as it has been several years since it was up-dated we feel that rather than update our current document we should adopt a standardised constitution.

The National Confederation of Parent Teacher Associations (NCPTA) is a national charity representing over 13,000 PTAs across England, Wales and Northern Ireland. They have produced a model constitution that is a comprehensive and legally robust document. Among other items, it outlines the aims and powers of the PTFA and also defines who can be a member and how meetings should be conducted.

In order to legally adopt the NCPTA constitution it is necessary to have a period of consultation with all members of the association. Then a special meeting (Extraordinary General Meeting) will be held to formally adopt the constitution.

The EGM will be held on Thursday 7th January 2010 at 9:15am in the school hall. The meeting should take no longer than 10 minutes.

We are asking all parents/guardians of children at the school and friends of Kelvedon St Mary’s to comment on the proposed adoption of the NCPTA constitution. The document is available on the school web site (follow links to PTFA under “more pages”) or a paper copy can be viewed (but not removed) from the school reception. Alternatively, if you would like a copy e-mailed to you please e-mail ptfasecretary@hotmail.co.uk

All comments are welcomed on this new constitution – our current document will also be available to view.

A comments book will be available for you to leave feedback. If viewing on the school web site there will be a facility to leave comments online. Alternatively e-mail ptfasecretary@hotmail.co.uk

All parents, guardians, teachers and friends of Kelvedon St Mary’s school are invited to the EGM. Tea and coffee will be available. We would be grateful if you could indicate your availability and return the reply slip before the end of term.

Many thanks
Liz Gee – PTFA chair
Amanda Button – PTFA secretary
